How to Track Job Applications: A Simple Weekly Workflow

Keep the next action beside the application

A job tracker is useful when it answers three questions: What did I apply for? What did I send? What needs to happen next? You can use a spreadsheet, a notebook or an application workspace. Start with a few fields you will maintain consistently.

A copyable field checklist

  • Company and exact role title.
  • Job posting URL and a saved copy of the description.
  • Location or working arrangement.
  • Application status and submission date.
  • Target deadline, including the employer's time zone when specified.
  • Resume and cover-letter version names.
  • Next action and a date to review it.
  • Interview preparation notes and outcome.

A target deadline in your tracker is a planning field. It is not proof that an application was submitted or that a reminder has been scheduled. Confirm important deadlines against the employer's instructions.

Example: move from saved role to submitted application

Imagine saving a fictional junior analyst role. Record the company, listing and deadline. Read the description, identify three relevant requirements and select the resume version you will tailor. Check the exported file, submit through the employer's portal and record the submission confirmation. Only then change the status to applied.

Saving a role or building a document does not apply on your behalf. Make the actual submission step explicit so an attractive workspace does not become a collection of unfinished applications.

Use a weekly review

  1. Check upcoming deadlines and interview dates.
  2. Finish the highest-priority incomplete application.
  3. Review any follow-up you planned and whether the employer gave a response timeline.
  4. Archive closed roles while retaining useful notes.
  5. Choose the next small preparation task from interview feedback.

For follow-ups, use the contact channel the employer provided. Keep the message brief and reference the role and application date. Avoid repeatedly contacting multiple employees about the same application.

Connect documents and preparation

Choose storage deliberately
